This policy explains what personal information this website collects about you, why we collect it, who receives it, how long we keep it and what your rights are. It applies to psymontreal.com and to the services we offer on it. It was written with Quebec’s Act respecting the protection of personal information in the private sector (Law 25) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) in mind.
This policy covers the website only. The clinical records of people who receive our services are kept and protected under the professional and legal obligations that apply to psychologists and health professionals, and are not covered by this policy.
Who we are
This website is run by the organisation named below, which is responsible for the personal information described in this policy.
Person in charge of the protection of personal information
As required by Law 25, the person in charge of the protection of personal information at PsyMontréal is: Catalin Iancu, Digital Marketing Specialist. You can reach them at privacy@psymontreal.com or by mail at the address above.
What personal information we collect
When you visit this website, our web server automatically records technical details that your browser sends with every request, such as your IP address, which pages you asked for, when you asked for them, and which page or search engine sent you here. We use this to serve pages and to keep the site secure.
We also collect the information you give us directly:
- Contact forms: your name, email address, phone number and message. For training requests, we also collect your organisation, your position, the training you are interested in, the number of participants and how you heard about us. We use this to answer your request. It is stored on the site and emailed to our team.
- Job applications: your name, email address, message and, if you attach it, your CV in PDF format. We use this only to assess your application. It is emailed to our recruitment team and is not stored on the site.
- Newsletter: your email address and, if requested, your name. We use them to send you our newsletter and invitations, and you can unsubscribe at any time with the link in every email. They are stored on the site and sent to our newsletter provider.
- Booking appointments: online booking takes place on our booking platform, psymontreal-psyvitaliti.com, linked from our Book an Appointment page. The information you enter there is collected by PsyMontréal and is covered by this policy. You can also book by phone. There we collect in particular your contact details (mailing address, email address and phone number), your banking information, information about scheduling your sessions and the information needed to provide our services (for example, the reason for consulting, your goals and your relevant history).
Please do not send detailed health information through the forms on this site. That information will be collected securely when you start receiving our services.
Cookies and similar technologies may collect more than this, depending on the choices you make. They are described in the next two sections.
Cookies and similar technologies
Cookies are small files a website asks your browser to store. Similar technologies, such as pixels, tags and browser storage, do the same job in a different way. Some are needed for the site to work at all. Others are used for measurement or advertising, and those are only set with your consent. Details are in our Cookie Policy.
You can review or change your choice at any time:

Who receives your information
Some of the services this site uses receive information about you directly, because your browser has to contact them to load the content or script they provide. When that happens they can see your IP address and basic details about your browser, whether or not you interact with anything.
What this site sends from its own server
Our service providers
We also rely on the following providers, who may have access to personal information to the extent needed for the services they provide to us:
- WPMU DEV (Incsub), which hosts the site and its database;
- our email service, which delivers the messages sent through the site’s forms;
- iContact, our newsletter provider;
- Google (Google Analytics, Google Tag Manager and Google Ads), for audience measurement and advertising, only if you consent.
We do not sell your personal information.
Transfers outside Quebec
Some of these providers, including Google and iContact, store or process information outside Quebec, including in the United States. Our systems, including the website and our booking platform, are hosted on servers that may be located outside Quebec, notably elsewhere in Canada and in the United States. Before communicating information outside Quebec, we assess whether it will receive adequate protection there, as Law 25 requires.
How long we keep your information
We keep personal information only for as long as we need it for the purpose we collected it for, or for as long as the law requires. How long this site keeps records of your cookie choices is set out under “Your cookie consent choices” above. Once the purpose has been met, the information is destroyed or anonymised.
More specifically: requests sent through the contact forms are kept for three years; newsletter information is kept until you unsubscribe; application files of people we hire are kept for the duration of the employment contract plus seven years, and unsuccessful applications are kept for one year if you agree to let us keep your file; records related to our psychotherapy, coaching and assessment services are kept for five years, as required by our professional order in Quebec.
Your rights
Under Law 25, you can in particular: ask for access to the personal information we hold about you and obtain a copy; ask us to correct it if it is inaccurate, incomplete or ambiguous; withdraw your consent to its use or communication; ask for it to be communicated to you, or to another organisation, in a structured, commonly used technological format; and ask us to stop disseminating information about you or to de-index any hyperlink attached to your name, where the law allows it.
To exercise these rights, write to us at privacy@psymontreal.com. We will answer your request in writing within 30 days of receiving it. If you believe we are not handling your personal information in accordance with this policy or the law, you can file a complaint with our person in charge of the protection of personal information; we will answer you in writing within 45 days of receiving all the information needed to process your complaint. If you are not satisfied with our answer, you can file a complaint with the Commission d’accès à l’information du Québec.
Why we use your information
We use your information only for the purposes stated when we collect it: to answer your contact or training request, to assess your job application, to send you the newsletter you subscribed to and, if you consent, to measure how the site is used through non-essential cookies. You can withdraw your consent at any time, without affecting anything we did before you withdrew it.
Keeping your information secure
We take reasonable technical and organisational steps to protect personal information from loss, misuse and unauthorised access, including encrypted connections (HTTPS) and limiting access to the people who need it. No website and no way of sending information over the internet is completely secure, so we cannot promise absolute security. If a confidentiality incident presents a risk of serious injury, we will notify the people concerned and the Commission d’accès à l’information.
Links to other websites
This site may link to websites we do not run. Those websites have their own privacy policies and practices, and we are not responsible for their content or what they do with your information.
Changes to this policy
We may update this policy when this site changes, when what we do with information changes, or when the law changes. When we do, we will publish the new version on this page and update the date at the top. If a change means we need your permission for something new, we will ask you for it.
